Job Proof Checklist for Trade Businesses

The records worth keeping on every job, and why they matter when something goes wrong.

Proof is cheap until you need it

Capturing evidence takes minutes per job. Not having it costs thousands in one dispute, and reputational damage that lasts longer.

This is the checklist I would apply to any trade business.

The checklist

Every item is a phone task, not a paperwork task.

  • Pre-start photos of existing conditions
  • Photos of hidden work before it is covered
  • Written record of every variation at the point of agreement
  • Delivery and materials records
  • Completion photos and a completion report
  • Recorded customer sign-off
  • Review request sent

Make it automatic

A checklist only works if the system prompts it. Keystone Site builds these steps into the job record so proof is captured as the work happens rather than reconstructed afterwards.
