Practical business guide · Chris G Jones

A maintainable content system for a small business

Consistency comes from a useful source and a cadence the owner can keep, not from publishing everywhere every day.

This guide supports the websites and seo topic hub, where the broader decision is explained.

Start with evidence

Collect questions from sales, support, reviews and completed work. Choose one idea, then adapt it for each channel rather than copying it blindly.

  • Capture five real questions
  • Choose a customer problem
  • Draft one useful explanation
  • Adapt it for email or social
  • Review response and effort

Turn one customer question into a useful source piece

Keep a question log from conversations, proposal objections and support requests. Remove names and confidential detail. Choose a question your intended buyer would recognise, then answer it using your actual method, a concrete example and the limits of the advice. One useful explanation gives you more to work with than a calendar full of slogans.

Before drafting, state the decision the reader should be able to make afterwards. If the piece cannot change their understanding or next action, sharpen the question. Product promotion belongs where the product genuinely helps them apply the answer.

Illustrative example: one question, three treatments

Suppose customers keep asking what happens after they accept a proposal. The source article explains the handover from sales to delivery, including responsibilities and common delays. A short email introduces the key preparation step and links to the full explanation. A social post focuses on one avoidable mistake, rather than copying the entire article.

An onboarding toolkit can appear as the optional working-file version of the method. Explain what it adds and what the reader can do themselves. Do not make every channel carry the same sales pitch or imply that buying is necessary to understand the advice.

Set a cadence around the real production constraint

Choose an owner for drafting, checking and publishing. Reserve time for factual review and handling responses, not just creating posts. If expertise is the scarce resource, capture a short structured explanation from the person doing the work and use that as the source.

Review useful replies, enquiries and product visits alongside the effort spent. Remove channels you cannot maintain well. A missed posting target is a capacity signal; filling the gap with unsupported AI-generated commentary creates a quality problem without fixing the underlying workload.
