Start where dependency creates risk

Do not try to document the whole business at once. Start with recurring work that stops when one person is unavailable, creates repeated errors or causes customers and colleagues to chase. That gives the documentation a clear reason to exist.

A practical SOP structure

Screenshots and clicks can help, but the judgement around the task matters more. Capture why the process exists, what starts it, who owns the result and where a person must stop or escalate.

  • Purpose and trigger.
  • Named owner and required inputs.
  • Steps, decisions and hand-offs.
  • Exceptions, approval points and escalation rules.
  • Evidence of completion and review date.

Put the SOP inside a management rhythm

Documentation does not create ownership on its own. A light weekly review should expose missed measures, stuck actions and decisions that still return to the owner. Improve the process when the evidence shows a recurring problem, not simply because the document is old.
